Information We Collect

Personal Information is information that can be directly associated with you such as your name, email address, company, telephone number or billing information, or information about activities directly linked to you such as conference tickets that you have purchased. You agree that you will not provide us with the Personal Information of anyone other than yourself unless you first obtain the consent of the person on whose behalf you will be providing the Personal Information to us (for instance, when you purchase a conference ticket on behalf of a colleague).

Certain technology-based products, such as our conference mobile applications, may record information such as how often you use the application, the events that occur within the application, aggregated usage, and performance data, and the site or app store from which you downloaded the app. We also use this information to inform app design development and updates. Data collected may include, but is not limited to, system model, mobile network provider, operating system, host ID, location, IP address and other information used to collect aggregate data on app usage, downloads, sessions, and frequency of use. We use this information to manage and administer our products, services and events, and to advise you of the availability of updates and new versions, enhancing our products and services. When using our mobile applications we may collect your geo-location data in order to help provide you with conference services near you.

We provide tools to help you manage your time spent at our conferences, such as event planners via our conference mobile applications and via website-based agendas. Through these tools, you are able to favourite sessions, and provide ratings and feedback on content. This information is then anonymised and used for the purposes of assessing the relevance and suitability of content at future events.

When you visit our websites, we collect information about the pages you view. Some pages of our website may use cookies and similar technologies to automatically collect information from you. We send one or more cookies to your computer to uniquely identify your browser. Cookies and similar technologies enable us to collect information about your visits to our websites, such as:

  • Referring website (the website you visited before coming to our website)

Extend of processing of personal data

We only process personal data, when it is required to serve our website, our services or other content. Personal data will only be processed when the user has agreed to it. An exception will be made if the consent could not be given in advance and the law allows processing in this case.

Deletion of data and storage duration

Personal data will be deleted or access denied when there is no reason to store it anymore. It can still be stored, when the law requires us to.

Serving Our Websites

Description and Extend of Data Procession

We currently use the Google Analytics tool to analyse information on a macro level, such as the number of site visits and the location of users. We do not use such tools on a granular level to track the behaviour of individual users linked to personal information.

Logfiles containing your IP address and pages visited on our website are generated when you access our website.

We do not store log data together with other personal data of the user.

Reasons for processing this data

We use the IP address of the user to understand which pages of our websites users have visited. Information about it is stored to avoid abuse of others, find problems and improve our service in general.

Dissent and removal

We need to write log files to provide our service. There is no possibility for dissent and we cannot remove your data. If there is an urgent matter in this case, please send us a message to [email protected]

 

Newsletters and Enquiries

Description and extension of data procession

We send newsletters to our users when they have subscribed to them, and the essential information to users registered to attend the events we organise. We use the services of Mailchimp for this purpose.  You can read the privacy statement of Mailchimp here: Link.

To send you newsletters, we will ask for your e-mail address, first name and surname.

Links in newsletters are redirected to Mailchimp, which may set tags to track interest.

Reasons for processing

Your data will be used to send newsletters to you about upcoming events we organise.

Dissent and removal

Subscriptions to our newsletter can be cancelled at any time. Every newsletter contains a link at the bottom that can be used for that.

You can ask for confirmation if we store any personal data of yours. If we do, you can ask for further information:

  • The kind of data that we process
  • The recipients of your data, including those, who will receive your data in future
